Connect the OpenAI Platform API
Connect the OpenAI Platform API to see which people and models use it, and what each OpenAI project costs.
You need access to connect AI providers. Ask your Flowstate admin.
Before you start
- An organisation owner in OpenAI. Only owners can create admin keys.
Connect OpenAI
- In OpenAI, open Settings → Organization → Admin keys and create a key.
- Copy it straight away. It’s only shown once.
- In Flowstate, go to Organisation → Organisation → Integrations and select OpenAI Platform under AI providers.
- Select Connect, or Add another account if one is already connected.
- Paste the key and select Verify and connect.
If your organisation doesn’t use Organisation yet, replace steps 3 and 4: go to Settings → Integrations, select Browse catalog and open OpenAI Platform API, then under How to connect select Use this route.
Check it’s working
The key is listed under Connected keys with the status Working, and Data through shows a recent date. See the spend in Agent insights.
What Flowstate brings in
- Token usage per person and per model, each day.
- Billed cost per OpenAI project and line item, each day. OpenAI doesn’t report cost per person.
- Flowstate syncs every hour, and brings in your history when you first connect.
People
If your organisation has Flowstate Helm, Flowstate also brings in everyone in your OpenAI organisation and lists them on Users & teams. Accounts OpenAI marks as service accounts are never added as people. Nobody is emailed until you invite them.
If something’s not right
The connection shows Key rejected. The key was revoked or replaced in OpenAI. Create a new admin key and select Replace key on the connection. Your history stays.
The connect window (or the provider’s page in Settings) says “This key can’t list your people”. OpenAI refused the key when Flowstate asked for your people. Create a new admin key, then select Replace the key beside the message, paste it and select Verify and connect.
ChatGPT seat costs are missing. This connection only covers the API.
Usage isn’t shown against someone. Their OpenAI email doesn’t match anyone in Flowstate. Add them or correct their email, or match them by hand under Settings → Integrations → User attribution.
