Sign in to Flowstate

Flowstate doesn’t use passwords. You sign in at platform.flowstate.inc with a six-digit code sent to your work email, with Google or Microsoft, with a passkey, or with your company’s single sign-on. The first time, Flowstate also asks you to set up a second factor.

Anyone with a Flowstate account, or an invitation, can do this.

Sign in with an email code

  1. Go to platform.flowstate.inc. The page says Sign in to Flowstate.
  2. Enter your Work email and select Continue.
  3. If you’re asked to Choose your region, choose where your company’s Flowstate is kept: United Kingdom, Europe – West or United States – East.
  4. You’ll see Check your email. Enter the code from the email under Verification code. The code expires in 10 minutes.
  5. If your email belongs to more than one company, you’ll see Choose your tenant. Select your company.
  6. Confirm it’s you with your second factor. See Set up your second factor or Enter your authenticator code.
  7. Choose a workspace. See Choose a workspace.

Typed the wrong address? Select Use another email to start again.

Sign in with Google or Microsoft

  1. Go to platform.flowstate.inc.
  2. Under or continue with, select Login with Google or Login with Microsoft.
  3. Sign in with your work account.
  4. Confirm it’s you with your second factor, then choose a workspace.

Sign in with a passkey

If you’ve set up a passkey, such as Face ID, Touch ID, Windows Hello or a security key:

  1. Enter your Work email and select Continue.
  2. On Use your passkey, select Continue with passkey.
  3. When your browser asks, use your passkey.

You’re signed in straight away, with no email code or second factor. To get an email code instead, select Use a six-digit email code.

Sign in with single sign-on

If your company signs in to Flowstate through its identity provider, such as Okta or Microsoft Entra ID:

  1. Enter your Work email and select Continue.
  2. Your company’s sign-in page opens.
  3. Sign in there as you normally do. You come back to Flowstate signed in.

Flowstate doesn’t ask for its own second factor when you use single sign-on.

Set up your second factor

The first time you sign in with an email code, Google or Microsoft, you’ll see Set up two-factor authentication. Choose one.

Passkey (recommended)

  1. Select Passkey (recommended).
  2. Follow your browser’s prompt to create the passkey with Face ID, Touch ID, Windows Hello or a security key.

You’re signed in. Next time, you can sign in with the passkey alone.

Authenticator app, such as Google Authenticator or 1Password

  1. Select Authenticator app.
  2. Scan the QR code with your app. If you can’t scan it, type the key shown under Or enter this key manually: into your app.
  3. Enter the 6-digit code your app shows.
  4. Select Verify and continue.

To go back and choose a passkey instead, select Back.

You can add a second passkey or an authenticator app later, from your profile. See Manage your profile and security.

Enter your authenticator code

If you set up an authenticator app, you’ll see Two-factor authentication after entering your email code.

  1. Open your authenticator app.
  2. Enter the code under Enter your 6-digit code. Flowstate checks it as soon as you’ve typed six digits, or you can select Verify.

After 5 wrong codes, you have to wait 15 minutes before trying again.

If you’ve lost your phone or passkey

Ask your Flowstate admin to reset your second factor. They can do it straight away from your row in the user list (see Reset someone’s second factor). Next time you sign in with an email code, Flowstate asks you to set up a second factor again.

The Two-factor authentication screen also shows Lost access to your authenticator app? with a Contact support link, which emails Flowstate support. Your own admin is usually quicker.

Choose a workspace

If you can work in more than one workspace, you’ll see Choose a workspace after signing in. Workspaces are grouped by company when you belong to more than one.

  1. Select the workspace you want to work in. A tick marks the one you’re in now.

With only one workspace, Flowstate takes you straight in. To move to another workspace later, see Switch workspace.

Accept an invitation

  1. Open the email that says you’ve been invited to join your organisation on Flowstate.
  2. Select Accept Invitation. The Flowstate sign-in page opens.
  3. Enter the email address the invitation was sent to, and select Continue.
  4. Follow Sign in with an email code from step 3, then set up your second factor.

Use exactly the address the invitation went to. Invitations don’t expire.

Approve a sign-in on your Mac

When you sign in to Flowstate Desktop on your Mac, it opens a page in your browser to approve it.

  1. In your browser, check you’re on Sign in to your Mac.
  2. Check the Approval code matches the code in Flowstate Desktop.
  3. If it matches, select Approve this Mac. You’ll see Desktop sign-in approved.
  4. Go back to Flowstate Desktop. It signs you in by itself.

If you didn’t start this, or the codes don’t match, select This wasn’t me. You’ll see Sign-in cancelled and Flowstate Desktop won’t be signed in.

An approval request lasts 10 minutes. If your browser asks you to sign in to Flowstate first, sign in, then start again from Flowstate Desktop.

Change the language

Once you’re signed in, set your language in your profile. See Manage your profile and security.

If something’s not right

“We could not find an account with this email.” Check the address, or ask your Flowstate admin to invite you.

The email code doesn’t arrive. Check your junk or spam folder. If it still isn’t there, select Use another email and try again.

“Too many attempts, please try again in … minutes.” You’ve asked for too many codes. Wait for the time shown, then try again.

“We could not complete that step. Check your details and try again.” The code was wrong or had expired. Check it, or start again to get a new one.

“No enabled tenants were found. Contact your Flowstate administrator to arrange access.” Your email isn’t set up in any company yet. Ask your Flowstate admin to invite you.

“Some regions could not be reached. Try again to see all your tenants.” Flowstate couldn’t check every region. Try again in a moment.

“You are not authorised to access this organisation.” You need an invitation to this organisation. Ask your Flowstate admin.

“This account uses a passkey to sign in. Please try again using your passkey, or contact support if you have lost access.” Your passkey is your only second factor. Enter your email and select Continue with passkey. If you’ve lost it, see If you’ve lost your phone or passkey.

“Too many failed attempts. Please try again later.” You entered 5 wrong authenticator codes. Wait 15 minutes, then sign in again.

“Session error. Please try again.” Flowstate couldn’t finish signing you in. Go back to the sign-in page and start again. If it keeps happening, email support@flowstate.inc.

“You do not have permission to use this service.” Your company’s identity provider hasn’t given you access to Flowstate. Ask your IT team to add you to the right group.

“We could not set up your account. Please contact your administrator.” Flowstate couldn’t create your account after single sign-on. Ask your Flowstate admin.

You see an Authentication Error page. Something went wrong while signing you in through your company’s identity provider. Select Try Again to go back to the sign-in page, or Go Back to return to the page before. If it keeps happening, send your Flowstate admin the message shown on the page.

You see a Tenant Not Found page. The web address doesn’t match a Flowstate company. Go to platform.flowstate.inc instead.

“This sign-in request expired. Start over from the desktop app.” More than 10 minutes passed before you approved your Mac. Start signing in again from the desktop app.

“This code belongs to a different workspace. Sign out and try again from the right one.” Your browser is signed in to a different Flowstate organisation from the one the desktop app is using. Log out in your browser, sign in to the right organisation, then start again from the desktop app.

“We couldn’t find that code. Check the desktop app and try again.” or “This sign-in request was already handled.” Start signing in again from the desktop app.
